For the purposes of the General Data Protection Regulation (“GDPR”) and UK data protection laws, the Data Controller is The Seniors’ Lawn Tennis Club of Great Britain (SLTC). Due to the nature of our Club (nomadic) we have no permanent “venue” but can be reached by contacting the Honorary Secretary.

 

This privacy policy sets out what personal details we hold, how we collect it, where it is held and how it is processed.

 

The data we hold

 

We hold the following information:

  • name, title and date of birth

  • age and gender

  • contact details – postal address, email, home/work/mobile telephone numbers

  • proposed by, seconded by and date joined

  • playing qualifications, BTM number and other club memberships

  • membership category (Ordinary or Honorary), status (active or expired), leaving date with reason

  • GDPR flag – indicates whether you have agreed to receive email from our 3rd party mail distributor

 

We hold no other personal information of any kind such as financial, medical or next-of-kin details.

 

How we collect your data

 

We collect personal data directly from you, when you fill in our Membership Application Form. Proposer and Seconder details are added independently in support of your application.

 

Our Membership Database is populated from the application form. When you leave the Club, leave date with reason for leaving is added.

 

Where your data is held

 

We utilize 3rd Party (Data Processor) systems to:

 

  • run our website

  • address our bulk mailing needs

 

We are committed to securing this information, ensuring the necessary data processing agreements are in place with our Data Processors.

 

Direct access to member data and our mailing list is limited to officers of the Club and requires secure login for input and maintenance. 

 

How we process your data

 

We process your information for our ‘legitimate interests’ in running the Club and communication with members, more specifically:

 

  • maintaining a website that records match results and from time to time displays photos of members and non-members taken at official matches and social events

  • management and administration of a membership database and email distribution list

  • match arrangements

  • organising Annual Events

  • distribution of a monthly Newsletter

  • Club-related communications by email, or post if no email address is given

  • Sharing contact details with other Club members

 

Your contact preferences

 

Personal data provided to us will be used for the purposes set out at the time of collection and, where relevant, in accordance with any preferences you express.

 

Your key source of information regarding the Club will be our website, Newsletter and mailings relating to specific events or announcements.

 

Outside of the website, our primary means of contact is by email and if there is no email address on file we will revert to post. Phone is generally used as a last resort.

 

When joining the Club, the contact information you provide will be used for our direct communications and the type of communication is entirely controlled by SLTC.

 

You are in control of how we communicate with you. Email communications will provide an ‘unsubscribe’ facility for you to OPT-OUT of all future communications by this method. You can also update your choices by contacting us.

 

Sharing your information with others

 

We do not sell or share your personal data with other organisations, e.g. for use in direct marketing campaigns or to facilitate data profiling.

 

Personal data collected by us and processed by our data processing partners is solely used for Club purposes. 

 

Our data processing partners are:

  • Wix.com Ltd – Globally operated, provides web development and data hosting services

  • IONOS Cloud Ltd. - domain management 

  • MailChimp – USA based, used for bulk email communications

 

How long your information is kept

 

We keep your personal data for as long as you remain a member of SLTC.

Your rights

 

SLTC will uphold your rights as follows:

 

  • member access requests 

  • correction of incomplete or inaccurate information 

  • erasure of your personal data

  • objection to processing of your personal data by:

    • our email distribution partner

    • sharing your contact details with other members  

  • request the restriction of processing of your personal data (as above)

  • request the transfer of your personal data to another party.

 

Please note that we may contest requests where exceptions apply and where they are to the detriment of our legitimate interests.

The SLTC website uses cookies (messages stored by your web browser) to enable you to properly navigate the site.
